How do I track profit per vending machine?

Profit per vending machine is what that machine sold, minus the fees it carried, minus the cost of the product it sold. Much of that is already sitting in your maker's statements and your sales feed; the work is putting each piece on the machine that earned it.

VENDBase does that work, and the number sharpens toward true per-machine profit as you use it.

What goes into profit per machine?

Monthly gross sales, minus what the product cost you, minus the fees you pay each month, leaves operating profit. On a real route a few more things come out of the take: your host's share where a location has one, the costs that run every month whether a machine sells or not, and a loan payment where a machine is financed.

Each lands where it belongs: a host share on that machine, a business cost across the route rather than pinned to one cooler.

Where do the fees come from?

From your statements. Log a statement and VENDBase reads it as line items instead of one number: service, per-sale fees and card processing each become their own line, with the period it actually covers. Your synced sales for that same period sit beside the statement total, so if the two disagree you can see it rather than adding it up yourself.

Fees land in the date range that actually earned them, so a seven day view carries a slice of the monthly charge rather than the whole thing. A period with no statement gets a figure worked out from that make's rates and your own sales, marked as an estimate until you accept it.

Where do product costs come from?

From your receipts. Photograph a supplier receipt at the register and it reads the line items. How you buy a product, singles, six packs or a case of twenty four, is a one-tap answer suggested from the receipt you just logged. Qingo prices and costs also come over from your Qingo product library.

Why does the number get sharper over time?

Because real numbers replace guesses one restock at a time. The profit picture sharpens toward the true per-machine number as you log restocks and enter product costs, and per machine profit sharpens as more statements go in.

Has the machine paid for itself yet?

Set what you paid for a machine and VENDBase tracks how much of it has come back, whether it has paid for itself and by how much, and how many months it has left to go at its recent pace.

Sizing up a machine you haven't bought yet? The free payback calculator takes the price and a few honest numbers and gives you months to payback. No signup, and your numbers never leave that page.

Who do you talk to when something breaks? I'm Benjamin, I run a route in western Oklahoma, and we built this because nothing else existed.

$19 a month flat covers your whole route, so the price is the same whether you run three coolers or thirty. No per-machine fees and no tiers.
